How to explain credit usage to a client or finance stakeholder

Prerequisites

  • Organization owner or someone with access to billing summaries they can share appropriately

Stakeholders rarely need the raw ledger. Give them package context, what consumed credits, and what you will change next month.

Steps

  1. Pull current package name, credit remaining/used, and seat/project limits from Billing.
  2. Export or screenshot credits-by-project and credits-by-activity for the period (scrub anything that mixes unrelated clients if sharing externally).
  3. Explain in plain language: credits power ranking crawls, rechecks, and entitled tool/AI jobs — separate from package limits like AI Visibility.
  4. Call out one or two drivers (for example “Client A added 2k daily keywords” or “AI prompt pilot”).
  5. State the mitigation: pause sets, lower frequency, delay AI, or upgrade — with owners and dates.
  6. Do not promise Slack/webhook usage alerts — notifications are email-only today.

Outcome

The stakeholder understands why credits moved, what is included on your package vs credits, and what operational change protects delivery.
